An Ez Software Review of
EPES School Inventory Software
Rating:
***** (5/5)
Keeping track of school inventory is no simple matter.
It’s so easy to move school inventory from room to room. That’s were EPES Software, of Tulsa Oklahoma, would
like to help you. EPES has developed a school inventory management software program that addresses some of the
most difficult tasks of school inventory control.
Setting Up the Program
The EPES inventory program installs very quickly from a CD, Disk or
Internet download onto a windows PC. Simply press <Enter> for each suggested default. Once installed, the
inventory program is very simple to set up. You enter information about buildings, classifications, funds and
vendors only one time. This information is available from a pop window while entering your inventory data. This
simplifies data entry and insures data consistency.
Entering Inventory Data
Once your basic information has been entered, you begin entering
individual inventory items. One nice benefit of using an EPES program is that the interface is consistent and
simple between screens as well as programs. If someone has used another EPES program, they will immediately know
how to use the school inventory program.
The EPES program included four nice accounting / accountability
options:
1) Once the quantity, cost and depreciation period are entered, the
program automatically calculates the depreciation value. This is automatically updated daily.
2) The program allows schools to classify their inventory items. This
makes data retrieval and auditing much easier.
3) When inventory is deleted, the program requests the date deleted, why
deleted and the person authorizing the deletion.
4) The school inventory program can be used with a barcode reader and
barcode labels. Once the inventory has been entered, the school can print barcode labels to place on each inventory
item. Then, using a barcode reader, someone can go from room to room to take a current inventory of what is in each
room. The barcode data is then uploaded to the inventory program for reporting and updating current
inventory.
Printing Reports
The EPES software prints a wide range of inventory reports by building,
fund, vendor and more. The user can select from a wide range of options when printing a report. For example, you
can print the inventory purchased in a certain month or year by a specific vendor or fund.
A depreciation and replacement report are very helpful for accounting
purposes. An inventory status report can be selected if you use the barcode reader. This report lists all inventory
items not found or moved to a different location. This is a very helpful accountability option.
Utilities
The inventory program includes options for backing up and restoring
data, import/export of data, rebuilding data indexes and files. If required, the system administrator can set up
what inventory files are accessed by what employees or groups of employees.
Support
EPES software offers a 30-day free trial, a six-month money back
guarantee and one year of toll free technical support on all their products. A trial version of their software can
be downloaded from their website. This demo version allows users to test every program option. Activating the
accounting program is quick and simple. The user receives a small registration file from EPES by Internet download
or disk.
At the end of the year, their toll free support can be renewed at a
nominal cost. Larger school districts can receive quotes on quantity discounts for software and support.
